Role Overview
As an Intake Coordinator, you'll play a pivotal role in managing the intake and scheduling process for our customers. Your responsibilities include gathering essential information, scheduling service appointments, and ensuring a seamless start-to-finish intake process.

Key Responsibilities
  • Customer Interaction: Answer calls and emails promptly, providing empathetic and professional support to customers.
  • Intake Management: Gather accurate customer and job information, ensuring all details are documented and shared with the necessary teams.
  • Scheduling & Dispatching: Schedule and dispatch service appointments, optimizing logistics to support field teams effectively.
  • Coordination: Collaborate with production, sales, and administrative teams to ensure a smooth customer journey.
  • Documentation: Maintain accurate and organized job files, including timestamps, customer forms, and relevant communication.
  • On-Call Rotation: Participate in a rotating schedule for after-hours emergency calls, ensuring customers have 24/7 support.
What We're Looking For
  • High school diploma or equivalent required.
  • 1-2 years of customer service experience, preferably in a call center or fast-paced environment. (Intake Coordinator experience is a plus!)
  • Strong communication, multitasking, and organizational skills.
  • Proficiency with CRM software and a knack for using technology to streamline tasks.
  • A customer-first attitude with a problem-solving mindset.
Work Environment
This role involves working at a computer for extended periods, answering phone calls, and managing a fast-paced workflow. You'll be part of a dynamic team that supports each other to achieve excellence.

Schedule Flexibility
We are finalizing the schedule for this role and are considering shifts that may be overnight or during business hours.
